Tarmac Events Celebration of Motorsport 2025 – Vendor Terms & Conditions
By completing and submitting the vendor application form on this page, you agree to the following Terms & Conditions:
- Event Participation
- Date & Location: The Tarmac Events Celebration of Motorsport will be held on Sunday, 21 September 2025, at Langley Park.
- Event Hours: All vendors must operate from 9:00 am to 4:30 pm and be fully set up by 8:30 am. Vendors are expected to remain open for the duration of the event unless otherwise directed by event organizers.
- Fees & Payment
- Site Fee: A non-refundable site fee of $200 is required for participation. Payment details will be provided upon approval of the application.
- Payment Due Date: The fee must be paid in full before the event day to secure your position at the event.
- Set-Up Requirements
- Self-Sufficiency: All vendors must be self-sufficient in terms of power, water, and any other required equipment.
- Equipment & Marquee: Vendors must supply their own tent, tables, chairs, and other necessary items.
- Power Requirements: Vendors using electrical equipment must provide certified, tagged power leads. All equipment must comply with current safety standards.
- Permits & Insurance
- Temporary Food Vendor Permit: Vendors are required to obtain a City of Perth Temporary Food Vendor Permit, which must be submitted with the application.
- Public Liability Insurance: All vendors must have valid public liability insurance. A copy of the policy must be provided with the application.
- Compliance: Vendors must adhere to all local health and safety regulations and be prepared for inspection by relevant authorities on the day of the event.
- Stall Management
- Safety & Cleanliness: Vendors are responsible for maintaining a clean and safe environment within their stall area. All waste must be disposed of properly in designated areas.
- Staffing: Vendors are responsible for staffing their stalls for the duration of the event. All staff must adhere to event safety protocols and guidelines.
- Food Safety: All food must be prepared, stored, and served in compliance with health regulations.
- Event Day Conditions
- Adherence to Event Schedule: Vendors must arrive on time for setup and adhere to the event schedule as directed by the organizers.
- Noise Control: Vendors must manage noise levels within their area, ensuring it does not disrupt other vendors or attendees.
- Compliance with Event Staff: Vendors agree to follow all instructions from event staff, including adjustments to setup, safety measures, and any last-minute changes due to unforeseen circumstances.
- Liability & Responsibility
- Loss or Damage: Tarmac Events WA assumes no responsibility for the loss, theft, or damage of vendor goods, equipment, or personal property.
- Indemnification: Vendors agree to indemnify and hold harmless Tarmac Events WA from any claims arising from vendor activities, negligence, or failure to comply with regulations.
- Weather & Cancellation Policy
- Weather Conditions: The event will proceed rain or shine. Vendors are responsible for securing their equipment in adverse weather.
- Cancellation: In the unlikely event of a cancellation by Tarmac Events WA, vendors will be notified as soon as possible, and alternative arrangements will be discussed. Site fees are non-refundable under other circumstances.
Agreement
- By submitting this application, you confirm that you have read, understood, and agree to these Terms & Conditions and will comply with all requirements and event day conditions as specified by Tarmac Events WA. Failure to adhere to these terms may result in removal from the event.
